Privacy Policy

This Privacy Policy explains how the Palia Community Hub (“the Hub”, “we”, “us”) collects, uses, and protects your information when you use our website and connect your Discord account. By signing in with Discord and using the Hub, you acknowledge that your data is handled as described below.
1. What Data We Collect
When you sign in with Discord and use the Hub, we collect the following information:
- Discord user ID — a numeric identifier assigned by Discord. This is not your real name, email, or phone number.
- Discord username and display name — the name shown on your Discord profile.
- Avatar image — your Discord profile picture, fetched via Discord OAuth2.
- Coin balance and transaction history — your virtual coin balance and records of purchases, casino bets, wheel spins, and coin grants.
- Event attendance data — if you RSVP to events through the Hub.
- Waitlist entries — if you join the waitlist (name, server name, Discord handle, and any notes you provide).
- Migrated MEE6 balance — if you ran the
/coinscommand during the migration window, your previous MEE6 coin balance was captured and transferred to the Hub.
2. Why We Collect This Data
We use the data listed above for the following purposes:
- To provide the coin economy, shop, casino, reward wheel, and leaderboard features.
- To migrate your existing MEE6 coin balance so you do not lose your progress (only when you initiate it by running
/coinsin Discord). - To display your username and avatar on the Hub, the leaderboard, and the shop.
- To send embeds and announcements to Discord channels on your behalf (admin actions only).
- To grant Discord roles when you purchase role-type items in the shop.
We do not collect your real name, email address, phone number, home address, payment card details, or any information beyond what Discord provides and what you enter on the Hub.
3. Legal Basis for Processing (GDPR)
For members in the European Union, our legal basis for processing your data is:
- Consent — you consent to data collection by signing in with Discord and using the Hub.
- Contract — processing is necessary to provide the features you request (shop purchases, wheel spins, etc.).
- Legitimate interest — maintaining the community economy and leaderboards.
4. How Long We Retain Your Data
- Active members: Your data is retained as long as you are a member of our Discord server and actively using the Hub.
- Inactive members: If you leave the Discord server or are inactive for 12 months, we will delete or anonymize your data (your username replaced with “Former Member” and your avatar removed).
- Transaction logs: Kept for 12 months for audit purposes, then aggregated or deleted.
- Waitlist entries: Retained until you request removal or are onboarded.
5. Who We Share Your Data With
We do not sell, rent, or trade your data. Your data is shared only with:
- Discord — as the OAuth2 provider, Discord processes your authentication. Discord's own Privacy Policy covers their handling of your data.
- Our hosting provider — the Hub and its database are hosted on a cloud platform (we will name the specific provider here when live). The provider processes data only as necessary to host the service.
We do not share your data with advertising networks, data brokers, analytics providers, social media platforms, or any third party for marketing or profiling. We do not use your data to train AI or machine learning models.
6. Your Rights
Depending on your jurisdiction (especially under GDPR and CCPA), you have the following rights regarding your data:
- Right of access — you can request a copy of all data we hold about you, including your full transaction history exported as CSV.
- Right to rectification — you can request correction of inaccurate data (e.g., if your username has changed).
- Right to erasure — you can request deletion of your Hub account and all associated data (“right to be forgotten”).
- Right to data portability — you can request your data in a machine-readable format (CSV/JSON).
- Right to object — you can object to certain processing of your data.
- Right to withdraw consent — you can disconnect your Discord account at any time, which stops further data collection.
To exercise any of these rights, contact the server admin via Discord (the admin contact is listed in the sidebar or server information channel).
7. Data Security
We take reasonable measures to protect your data, including encrypted connections (HTTPS), secure password and API key management, and access controls on the database. However, no method of transmission or storage is 100% secure. In the event of a data breach, we will notify affected users and Discord as required by applicable law.
8. Cookies and Local Storage
The Hub does not use tracking cookies. We use browser localStorage to remember your session and preferences. If we add analytics in the future, we will update this policy and add a cookie consent notice.
9. Children's Privacy
The Hub is not intended for children under 13 (or the minimum age required in your country to use Discord). Discord enforces its own minimum age requirement of 13. We do not knowingly collect data from children under 13. If you believe a child under 13 has provided data to us, contact the admin and we will delete it.
10. Changes to This Policy
We may update this Privacy Policy from time to time. We will post the updated version on this page with a new “Last updated” date. We will notify the community of significant changes via Discord announcement.
